Third Party Authorisation - GDPR

Give authorisation for someone to speak on your behalf about matters relating to you and your course at the University of Hertfordshire.

To enable someone to speak on your behalf to the Ask Herts and Student Administration Service you will need to complete the below form. 

Queries dealt with by any other department including Wellbeing, Careers, etc. (not an exhaustive list) will not be covered by this authorisation and you will need to contact them directly to discuss your needs.

Please note that this form is only open to Students with account log in details and you will need to be logged in to your student account to access the form. 

The areas covered by this form are as follows: 

  • Finance information (Anything related to your tuition fees, payments and debt)
  • Student Loan and funding including financial support or hardship
  • Accomodation including fees and deposits 
  • Visa and Immigration information including international student advice and support 
  • Student record and course information: Name, address, contact details, course details includes modules, grades, awards and all messages sent in relation to your course or student record. 
  • Attendance and engagement, including withdrawals or re-instatements. 
  • Registration status, includes mode of study including whether you are full or part time. 
  • Correspondance from the University including collection of transcripts, and letters.
  • Reference requests. (You will need to complete this form for the company in question who will then need to provide the sharecode that will be shared with you via email) 

Once you have completed the form, we will update your student record with the nominee details and sharecode which will be automatically populated, this sharecode will be shared with you via email and the nominee will have to quote this everytime they call or email in about a matter which you have nominated them for. 

The sharecode will be a nine digit number looking like this: Sharecode: 131-144-440

All requests are valid for a period of 90 days unless retracted by the University or Student which can be done at any time by contacting the Ask Herts team.

To retract your nominees access, please state their name, relationship to you, email address and sharecode given and that you wish to retract third party access for the named person when contacting Ask Herts. 

It is your responsibility to keep your sharecode confidential and to only share with those identified on the form.
